This is in addition to the standard purchase price of the cartridge and the standard shipment cost. This fee is a significant cost saving compared to manually ordering cartridges from the ALSO web shop and having to keep your web shop product portfolio up to date. The benefits for your customers are that they will receive cartridges before the old ones are empty and that they don’t need to know the correct product number and printer location.

When the toner and ink cartridges of connected printers run low, an automatic order is generated and sent to ALSO. The order is then shipped directly to your customer as a drop shipment, so you don’t have to keep any supplies inventory. General
The data collector can identify at least 20,000 different printers of all leading brands and the supplies each printer needs. Nevertheless, some items may not be supported by ALSO. After you install the collector and login to the SmartSupplies portal, In the printer overview page you can see how well each device is supported in the Status column. There are three types of status:
- Supported - All high running supplies are supported by automatic re-ordering.
- Partial supported - Some high running supplies are not supported by automatic re-ordering. In this case please contact your ALSO account manager
- Not supported: The printer doesn’t allow automatic re-ordering of supplies.
The service doesn’t offer automatic paper re-ordering.
After ALSO has registered you for the SmartSupplies program, you will receive an email with marketing materials that you can use for your customers. You can also direct them to www.weprintsmarter.com which contains detailed information about SmartSupplies.
Registration
You should receive an email from ALSO requesting you to complete your registration via a website link to the SmartSupplies portal. After completing your registration, you will receive another email confirming your login details. You can also ask to receive the data collector so that you can use it for your own printer network and demonstrate the SmartSupplies service to your customers.
Please check your email firewall settings. The emails might be blocked and placed in the quarantine zone. If they are not there, please ask your ALSO account manager to resend the emails.
The process for registering new customers after logging in to the portal is very straightforward. Nevertheless, ALSO will send you instructions by email after you have registered for the program.
Installing the SmartSupplies data collector is very straightforward. However local firewall settings may block the complete installation. The email with the data collector link also includes detailed information and specifications about the collector and how to install it successfully.
Using the SmartSupplies service
When you login to the SmartSupplies portal, you can see an overview of all printers in your network. In front of each printer you see an “i” icon. If you hover the cursor over this icon you can see the IP address, host name and serial number of each printer.
Every time ALSO receives an automatic printing supplies order, you will receive an order receipt confirmation from us. Also the status of the order will be displayed in the customer view on the SmartSupplies portal behind the cartridge in the detailed view of the printer
After the SmartSupplies portal has automatically re-ordered a cartridge, once it has been shipped, you will receive an invoice from ALSO for the cartridge ordered, the shipment cost and the small SmartSupplies automatic re-ordering fee.
Yes. Please login to the SmartSupplies portal, select one of your customers and then select the printer you wish to check. In the detailed view you can see all related printing supplies and their percentage full/empty levels.
Data collection, privacy and security
The data collected by the SmartSupplies Manager belongs to the account holder (end user). It does not contain any information about the user’s printing behaviour or the contents of printed material. The data is only used anonymously for statistics.
After completing registration, you and/or you customer will receive an email with a link to a download file. This compressed zip file contains the installation files for the SmartSupplies data collector. Installation uses a wizard to help you install the data collector on the printer network in a few simple steps.
The SmartSupplies data collector collects data from connected printers every 3 hours. The data collector looks for new printers every 5 hours.
The SmartSupplies servers are hosted in Microsoft Azure. The data centre is located in Amsterdam with a backup location in Dublin. Microsoft Azure is well known for its high level of security and has several layers of network protection.
In case the data collector has to search for printers on a big network it can take some time. You can speed this up by adding specific (printer network) IP addresses to the data collector. This can be done in the data collector screen via the top menu: tools-> ranges -> press button “import”. Here you can add a whole network range, a part of a network range or single IP address. At the bottom of that screen you can see format examples. Add the IP range and click "Include".
